​​House Rules — A 66​

​

1. General Use 

  • The venue is available for events, meetings, and conferences only (internal and external).  

  • By using the premises, the renter agrees to comply with all obligations arising from the rental agreement and the General Terms and Conditions. Violations may result in termination without notice. 

  • All bookings must be made in advance and confirmed in writing.  

  • The Renter is responsible for the conduct of all guests, vendors, and staff during the organized event.  

 

2. Hours of Operation 

  • Events may take place Monday to Friday, 08:00 – 23:00. Set-up times are coordinated and defined with the Event Management Team in writing via basel-events@mdpi.com  

  • Set-up and clean-up times must be included in the rental period.  

 

3. Noise and Music 

  • Music and audio levels must be kept within legal noise limits at all times.  

  • Violations of noise regulations are considered a breach of contract in accordance with Section 5 of the General Terms and Conditions and may result in termination without notice. 

  • No live or amplified music is allowed outdoors unless a specific permit is obtained.  

  • Sound checks must be completed no later than 60 minutes before guests’ arrival.

4. Smoking, Vaping, Animals 

  • Smoking and vaping are prohibited inside the venue.  

  • A designated smoking area is available outside, as per Swiss law.  

  • The consummation of drugs is not allowed.  

  • Service dogs may be allowed but must be coordinated prior to the event. Animals are prohibited inside the venue.

5. Alcohol and Catering 

  • Alcoholic beverages may be served but not sold (unless a liquor license is obtained).  

  • All catering services must be licensed and insured.  

  • External caterers must comply with all legal requirements and be approved by the Provider. Violations may be considered a breach of contract. 

  • Self-catering is allowed upon prior agreement.  

 

6. Safety and Security 

  • Emergency exits must remain unobstructed at all times.  

  • A safety briefing will be provided before the start of the event.  

  • Fireworks, open flames, and smoke machines are strictly prohibited without prior written approval.  

  • Climbing or jumping from the gallery on the first floor is strictly forbidden, as is climbing on or over the stair railings.  

  • The stairs connecting the ground floor and first floor must be used safely and respectfully; sitting on the railings or engaging in unsafe behavior is not allowed.  

  • Any safety incidents must be reported immediately to the venue manager.  

  • The basement is strictly off-limits to all clients, guests, and external service providers. Entry is prohibited for safety and operational reasons.  

 

7. Cleaning and Waste Disposal 

  • The venue must be returned in the same condition as it was when handed over for the event.  

  • Waste must be disposed of in accordance with Basel-Stadt recycling rules (separation of PET, glass, paper, etc.).  

  • Additional cleaning costs may be incurred in the event of non-compliance with the disposal and cleaning rules or heavy soiling.  

 

8. Liability and Insurance 

  • The Renter is liable for any damage to the venue, equipment, or furnishings.  

  • A certificate of liability insurance may be required for external Renters.  

  • A 66, the event location of MDPI AG, is not liable for lost or stolen property.  

 

9. Technical Equipment 

  • Use of in-house audiovisual (AV) and other technical equipment must be requested in advance.  

  • Only trained personnel may operate technical installations.  

  • External equipment must comply with Swiss electrical safety standards (SEV/ESTI).  

  • Meeting room set-ups must be returned to their original layout after use.  

  • Please switch off all equipment (e.g., monitors) after use.  

  • Report any malfunctioning or damaged equipment to the Venue Manager immediately.

10. Parking, Bicycle & Scooter Storage, and Accessibility 

  • There is no parking available on-site; alternative parking options will be provided.  

  • The venue is wheelchair accessible.  

  • There is a designated bicycle and scooter parking area in front of the venue (former garage) with space for bicycles. Please use this area respectfully and do not block entrances or walkways.  

  • Bicycles may not be brought into the building.  

  • The on-site elevator is reserved for guests who are unable to use the stairs due to mobility limitations. All other guests are required to use the staircase.  

 

11. External Equipment and Materials 

  • Any external equipment, furniture, decorations, or technical installations brought into the venue by clients or third parties must be approved in advance by the venue manager.  

  • All items must comply with local fire safety, electrical, and building regulations.  

  • Delivery and set-up times must be coordinated with venue staff and fall within the agreed rental period.  

  • All external items must be removed immediately after the event. The venue is not responsible for storing or disposing of unclaimed materials.  

  • Any damage caused by external equipment or set-up/removal activities is the responsibility of the client.  

 

12. Photography and Filming 

  • Photography and video recording are permitted for corporate use only.  

  • Commercial filming requires prior written approval and may incur additional fees.  

  • All recordings must respect individual privacy and GDPR/Swiss data protection laws.  

 

13. Kitchen and Coffee Machine Use 

  • The kitchen is available for light use only, such as preparing coffee, snacks, or reheating meals.  

  • Use of the coffee machine and kitchen appliances is allowed by authorized guests only.  

  • Please clean all appliances and surfaces immediately after use.  

  • Do not leave any food or beverages unattended or overnight.  

  • Dispose of coffee grounds, filters, and food waste properly using the designated waste bins.  

  • Personal or external catering appliances must be approved in advance.  

  • The venue is not responsible for personal items stored in the kitchen or fridge.  

 

14. Compliance with Laws 

  • All guests and organizers must comply with Swiss laws and local regulations.  

  • Any misconduct or breach of rules may result in event termination without a refund. A 66/MDPI AG reserves the right to take further legal action in such cases.  

  • These House Rules may be changed at any time without prior notice.
